Last week I wrote about connecting your AI assistant to your HostHive numbers, and I ended with a promise: the thing I actually wanted was help with the review queue. The invoice arrives, I pay it, Plaid syncs it in a few days later, and then it sits there waiting for me to open it, pick a category, assign it to a property, and approve it. One at a time. A hundred-plus by month's end.
Today that promise ships.
Upload as You Go
All month long, whenever a receipt or invoice shows up, you put it into HostHive. Snap it with your phone using Store Receipt — same button as always. Or drop the PDF onto the finance page. My cleaner emails me an invoice about six times a month; it takes four seconds each.
HostHive saves the file and reads its text automatically. That's it. No sorting, no filing, no naming things. A quiet counter tells you it's there: "24 documents uploaded · your agent will match them to transactions."
And when Airbnb sends you your earnings export, drop that in too. Upload it whenever — a fresh one every month, or one covering three years. Overlaps don't matter. Duplicates are impossible. HostHive works that out.
Then Ask Once
At the end of the month, you open your assistant — Claude, ChatGPT, whatever you've connected — and say:
"Work on my transactions that need review."
It reads your pending transactions. It reads the text of every receipt you uploaded. It reads your bookings and your earnings export. And it prepares everything:
- •That $142.84 charge? It found the cleaning invoice that matches it — "Cleaning Service, 3021 Bird" — so it's prepared as Cleaning, Bird property, receipt attached.
- •That $2,327.30 deposit? Your earnings export says it covers two reservations that checked in the same day. Airbnb pays those as one lump sum. Your assistant prepares the split — $1,768.58 to one reservation, $558.72 to the other.
- •That payout from mid-July? Matched to its reservation by date and amount, linked to the actual booking.
You Approve. Always You.
Here's the part I care about most.
Your assistant cannot approve anything. Not one transaction, not one split, not one dollar. The connection is labeled right on the settings page: "Can prepare, can't approve." That's not marketing copy — it's how the system is built. Preparing and approving are different permissions, and your assistant only ever gets the first one.
So you open HostHive, and the review screen looks different than it used to. Every transaction is already filled in — category, property, reservation — with a small marker: prepared by your agent. Click it and you see the reasoning and the receipt it matched. Splits show up as suggestions: "Your agent suggested splitting this payout across 2 reservations," with an Approve split button and a No, don't split button.
You read. You select all. You press approve.
That's the month-end close now. The forty-five minutes of clicking became a couple of minutes of reading.
